Job Summary

The EMP Unit is seeking a highly organized and detail-oriented Administrative Support Specialist to provide administrative support services to our team. As a key member of our team, you will be responsible for ensuring the smooth operation of our unit.

Key Responsibilities

  • Provide receptionist duties, including answering telephone calls, greeting visitors, and taking messages.
  • Process referral requests and enter physicians' orders.
  • Admit, transfer, register, and discharge patients.
  • Assemble, disassemble, and maintain charts, and file reports.
  • Coordinate vehicle fleet maintenance, including repairs, cleaning, and annual inspection.
  • Ensure vehicles are assigned to employees and maintain related documentation.
  • Perform general office duties, such as photocopying, faxing, filing, and processing mail.
  • Maintain inventory of office equipment and medical supplies.
  • Compile statistics and produce reports, including admissions, daily visits, discharges, travel, and education.
  • Enter payroll information, maintain employee timesheets, and arrange for replacement of short notice absences.
  • Verify codes and submit invoices for payment.
  • Maintain petty cash account.
  • Schedule meetings, record, type, and distribute minutes.
  • Arrange travel and submit expense forms.
  • Update policy and procedure manuals.
  • Ensure sharp containers are properly secured and forwarded to the appropriate location.
  • Maintain inventory of medical equipment, label new equipment, and ensure equipment is cleaned and maintained.

Requirements

  • High school graduation plus an administrative support program of over one year and up to two years, including medical terminology/transcription courses.
  • One year of previous work experience is required.
  • Demonstrated proficiency in Microsoft Applications (Beginner Level) - Word, Excel, Outlook, PowerPoint, Typing, Medical Terminology, Data Entry.
  • Submit a valid and clean criminal record check.
  • Demonstrate the ability to work efficiently as a member of the team and possess strong interpersonal skills, good judgment, and decision-making skills.
  • Be able to work all shifts as assigned, maintaining a good attendance record.
  • Have a high regard for confidentiality.
  • Have excellent work habits and a professional appearance.
