The Fleet Administrator will provide administrative support for all aspects of Fleet requirements under the direction of the Support Services Manager. Key responsibilities include:

  • Maintaining rental contract packages for Valard operations, ensuring accurate records and timely notifications to fleet supervisor and accounting.
  • Generating JDE purchase orders and ensuring commitment limits align with equipment requirements.
  • Reviewing and updating rental equipment purchase orders in JDE, closing or extending orders as needed.
  • Communicating with rental suppliers on various issues, following fleet supervisor direction.
  • Seeking rental equipment quotations and preparing comparative analyses to assist fleet supervisor and operations.
  • Assisting fleet supervisor and accounting with rental damage claims, reviewing vendor claims and sharing findings.
  • Working with on-site fleet equipment trackers on acquisition, rental damages, and returns.
  • Maintaining, updating, and reporting rental equipment status in JDE, taking action on returned units.
  • Assisting fleet supervisor with administrative tasks, including meetings with rental suppliers.
  • Collaborating with fleet accounting and fixed assets team on rental additions, removals, and purchases.
  • Tracking area units for expired and soon-to-expire certifications.
  • Generating and closing work orders in JD.
  • Creating purchase orders in JDE and performing receiving functions.
  • Scanning and adding completed work orders to Fleet MFiles vault or database.
  • Reviewing unit binders, ensuring documentation is complete and current.
  • Issuing fuel cards as required.
  • Collecting and forwarding documents to Corp Fleet group as needed.
  • Receiving and coordinating distribution of time and regulatory documents.
  • Creating mechanic personnel timesheets in mVolts.
  • Working closely with Shop Supervisors to manage Fleet documents and administrative tasks.
  • Managing various spreadsheets and reporting tasks.
  • Assisting Fleet Support Services Management with assigned tasks and projects.

Requirements:

Qualifications:

  • 3-5 years' experience in office administration, Fleet background an asset.
  • College diploma or equivalent, an asset.
  • No professional designation required.
