Fleet Operations Coordinator

Valard, a leading utility contractor in Canada, is part of the Valard Group of Companies and the Quanta Group, the largest electrical power contractor in North America. The company offers full-service capabilities for transmission, distribution, substations, foundations, telecommunications, and renewable energy.
The Fleet Administrator will work under the direction of the Support Services Manager to provide clerical and administrative support for all aspects of Fleet requirements.
Key Responsibilities:
- Maintain rental contract packages for Valard operations, ensuring all necessary documentation is up-to-date and accurate.
- Generate JDE purchase orders and ensure commitment is limited to the duration of equipment requirements as per project requests.
- Review and maintain rental equipment purchase order databases in JDE, taking actions to close or cancel unrequired purchase orders.
- Communicate with rental suppliers on various issues related to rental equipment contracts.
- Seek rental equipment quotations and prepare comparative analyses to assist fleet supervisors and operations with supplier selection.
- Assist fleet supervisors and fleet accounting with rental damage claims, reviewing vendor claims and sharing findings with fleet supervisors.
- Work with on-site fleet equipment trackers on acquisition, rental damages, and rental returns of equipment.
- Maintain, update, and report the status of rental equipment in JDE, taking appropriate action on rental units returned by projects.
- Assist fleet supervisors with administrative tasks related to meetings with rental suppliers.
- Communicate with fleet accounting and fixed assets teams on rental additions, removals, and purchases.
- Track area units for expired and soon-to-expire fleet unit certifications.
- Generate and close work orders in JD.
- Create purchase orders in JDE and perform related receiving functions.
- Scan and add completed work orders to Fleet MFiles vault or current database.
- Review unit binders as units come into the shop, ensuring all documentation is complete and current.
- Issue fuel cards when required.
- Collect and forward various documents to the Corp Fleet group as needed.
- Receive and coordinate distribution of time and regulatory documents, such as annual vehicle insurance and IFTA/Prorate documentation.
- Create mechanic personnel timesheets in mVolts.
- Work closely with Shop Supervisors to ensure all relevant Fleet documents and administrative tasks are managed.
- Manage various spreadsheets and reporting tasks.
- Assist Fleet Support Services Management with assigned tasks and projects.
Requirements and Qualifications:
- 3-5 years' experience in office administration, with a Fleet background an asset.
- College diploma or equivalent, an asset but not necessary.
- No professional designation required.
