We are seeking an experienced Office Services Coordinator to join our team in Vancouver, BC.
About the Role
This is a full-time position that reports directly to the Supervisor, Business Support Services. As an Office Services Coordinator, you will be responsible for providing exceptional front-line reception and customer service for our Home Office. You will ensure all callers and visitors receive a positive first impression of BC Housing and are treated with respect and discretion.
Your Key Responsibilities
- Provide professional corporate reception services, including operating switchboard equipment, in a high-volume reception environment.
- Take confidential messages and ensure a seamless transition when Executive Assistants are unavailable.
- Perform a variety of administrative duties, maintain databases and records, and ensure positive relationships with the Executive and staff, members of the Board, senior government officials, and clients, vendors, and suppliers.
- Train relief Receptionists and monitor their work while on reception.
About You
To succeed in this role, you will need:
- A high school diploma plus completion of a number of post-secondary courses in office administration or other relevant discipline.
- Considerable experience providing professional corporate reception services in a high-volume reception environment.
- Or an equivalent combination of education, training, and experience acceptable to the employer.
- Sound working knowledge of the policies, practices, and processes associated with the provision of reception services.
- Proficient in the use of MS Office Applications, including Word, Excel, PowerPoint, and Outlook.
- Strong communication, interpersonal, and customer service skills.
- Strong organizational, task prioritization, and time management skills.
- Ability to operate switchboard equipment, including VoIP.
- Ability to learn and understand the organization's mandate, structure, policies, and programs, and the mandate and programs of the Ministry and other relevant public and private sector organizations.
- Ability to constantly convey a positive image of the organization and effectively and efficiently respond to telephone calls, in-person visitors, and staff enquiries.
- Ability to build and maintain positive relationships with the CEO, executive and staff of the Commission, members of the Board, and the Minister, Deputy Minister, and MLAs.
What We Offer
We offer a competitive salary range of $65,000 - $80,000 per year, depending on experience, as well as a comprehensive benefits package, including medical and dental insurance, retirement savings plan, and paid time off.
