About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Gentle Pet Clinic Ltd. as an Administrative Coordinator.

Key Responsibilities
  • Event Planning: Arrange and coordinate seminars, conferences, and other events to support the clinic's operations.
  • Minute Taking: Record and prepare minutes of meetings, seminars, and conferences to ensure accurate documentation.
  • Office Procedures: Determine and establish office procedures and routines to maintain a smooth workflow.
  • Scheduling: Schedule and confirm appointments, meetings, and events to ensure timely and efficient use of resources.
  • Communication: Answer telephone calls, relay messages, and respond to electronic enquiries in a professional and courteous manner.
  • Data Management: Compile data, statistics, and other information to support business decisions.
  • Supply Management: Order office supplies and maintain inventory to ensure a well-stocked and efficient workspace.
  • Travel Arrangements: Arrange travel, related itineraries, and make reservations as needed.
  • Customer Service: Provide exceptional customer service to clients, patients, and visitors.
  • Information Management: Set up and maintain manual and computerized information filing systems to ensure accurate and efficient record-keeping.
  • Document Preparation: Type and proofread correspondence, forms, and other documents to ensure accuracy and professionalism.
Requirements
  • Education: Secondary (high) school graduation certificate.
  • Experience: 1 to less than 7 months of experience in an administrative role.
  • Language: English.
  • Work Hours: 30 to 40 hours per week.
