Office Services Supervisor

Osler is seeking a highly skilled and experienced Office Services Supervisor to join our team in Ottawa. As a key member of our office operations team, you will be responsible for overseeing the daily activities of the mailroom, reception, and office services teams, ensuring that tasks are completed efficiently and effectively.

Key Responsibilities:

  • Supervise and coordinate the activities of the mailroom, reception, and office services teams to ensure seamless day-to-day operations.
  • Oversee office maintenance, including premises, furniture, and equipment repairs and maintenance, as well as coordinating office moves.
  • Lead the Hospitality team to ensure the Conference Centre operations meet Firm expectations, including food and beverage, internal/external client experience, reception, and administrative support services.
  • Collaborate with the Senior Office Manager to oversee office administration and service team staffing, including monthly invoices, department budgeting, and team vacation management.
  • Represent the Ottawa Office and engage with national departments to seek out best practices, collaborate on solutions, and support the "one firm" values of Osler.
  • Coordinate special projects as required.

Requirements:

  • Community College diploma and at least 3 years related facilities experience, including some supervisory experience.
  • Equivalent combination of education, training, and experience may be acceptable.
  • Certified Health and Safety Member certificate or basic Human Resource training certificate would be an asset.

  • Professionalism and service-oriented mannerism.
  • Excellent emotional intelligence in both oral and written formats.
  • Organizational skills necessary to effectively multi-task.
  • Understanding of office and business practices.
  • High-level understanding of basic budgeting and reconciliation.
  • Ability to work in a fast-paced environment.
  • Reading, writing, and arithmetic skills.
  • Works well within a local team setting.
  • Resourceful and collaborates/communicates effectively with national contacts/counterparts.
  • Knowledge of computer applications.
