About the Role

We are seeking a highly organized and customer-focused individual to join our team as a Scheduling Coordinator at Community Fire Prevention Ltd. As a Scheduling Coordinator, you will play a critical role in ensuring the smooth operation of our scheduling process, coordinating with field technicians and clients to deliver exceptional service.

Key Responsibilities
  • Communicate with clients to schedule inspections, repairs, and services, ensuring all necessary information is collected and processed efficiently.
  • Confirm and schedule services with field technicians, ensuring they have the necessary resources and information to complete tasks successfully.
  • Coordinate with the warehouse team to ensure all necessary parts are available for each work order.
  • Liaise with third-party contractors as required, ensuring all necessary parties are on site for successful completion of work scope.
  • Provide technicians with required documentation to complete scope of work, ensuring all necessary information is available.
  • Communicate and coordinate with technicians regarding key information for their schedule, including check-in times and special requests.
  • Collaborate with the service team to re-schedule incomplete work orders, ensuring all necessary parties are informed and involved.
  • Work with account managers to ensure customers' needs regarding scheduling are being met, providing exceptional customer service.
  • Follow department guidelines and metrics to achieve company strategic goals, adhering to company core values and processes.
Requirements
  • Previous experience as a dispatcher, scheduler, or similar role, with a strong understanding of customer service principles.
  • Excellent communication and problem-solving skills, with the ability to think critically and prioritize tasks effectively.
  • Computer literacy, with proficiency in various software systems and the ability to learn new systems quickly.
  • Strong attention to detail, strategic thinking, and analytical skills, with the ability to manage multiple high-priority tasks and meet deadlines.
  • Experience in the fire prevention industry is considered an asset, but not required.
