Executive Administrative Support Specialist

We are seeking a highly organized and detail-oriented Executive Administrative Support Specialist to join our team at Northern Rebar Inc. in Winnipeg, Manitoba.
This is a permanent full-time position with an estimated annual salary of $55,000-$65,000 CAD, depending on experience. The successful candidate will have the opportunity to work in a dynamic environment and contribute to the growth and success of our company.
About the RoleThe Executive Administrative Support Specialist will provide administrative support to our executive team, ensuring seamless day-to-day operations and efficient communication among team members. Key responsibilities include:
- Administrative Tasks
- Manage calendars, coordinate travel arrangements, and prepare itineraries;
- Draft, edit, and proofread correspondence, reports, and presentations;
- Develop and maintain spreadsheets, databases, and other records;
- Scheduling and Coordination
- Schedule appointments, meetings, and conferences for executives and teams;
- Coordinate logistics, arrange transportation, and make reservations as needed;
- Customer Service
- Respond to inquiries, resolve issues, and provide excellent customer service;
- Build and maintain relationships with internal and external stakeholders;
- Communication and Documentation
- Create and distribute meeting minutes, agendas, and other materials;
- Develop and maintain knowledge management systems, including documentation and training resources;
- Time Management and Organization
- Prioritize tasks, manage multiple projects, and meet deadlines;
- Maintain accurate records, files, and databases;
- Team Collaboration
- Work collaboratively with cross-functional teams to achieve goals and objectives;
- Provide guidance, support, and expertise to junior staff members;
- Professional Development
- Stay up-to-date with industry trends, best practices, and new technologies;
- Participate in ongoing learning and professional development opportunities;
To succeed in this role, you will need:
- Education
- Secondary (high) school graduation certificate or equivalent experience;
- Experience
- At least 1 year of experience in an administrative support role, preferably in an office environment;
- Skills and Qualifications
- Excellent written and verbal communication skills;
- Strong organizational, time management, and prioritization skills;
- Proficiency in Microsoft Office Suite, particularly Excel and Word;
- Language Proficiency
- English language proficiency is required; French language proficiency is an asset;
- Other Requirements
- A valid driver's license and reliable transportation;
- Ability to work independently and as part of a team;
- Adaptability, flexibility, and a positive attitude;
