Job Summary

We are seeking a highly organized and detail-oriented Executive Administrative Support Specialist to join our team at Northern Rebar Inc. in Winnipeg, Manitoba.

This is a permanent full-time position with an estimated annual salary of $55,000-$65,000 CAD, depending on experience. The successful candidate will have the opportunity to work in a dynamic environment and contribute to the growth and success of our company.

About the Role

The Executive Administrative Support Specialist will provide administrative support to our executive team, ensuring seamless day-to-day operations and efficient communication among team members. Key responsibilities include:

  • Administrative Tasks
  • Manage calendars, coordinate travel arrangements, and prepare itineraries;
  • Draft, edit, and proofread correspondence, reports, and presentations;
  • Develop and maintain spreadsheets, databases, and other records;
  • Scheduling and Coordination
  • Schedule appointments, meetings, and conferences for executives and teams;
  • Coordinate logistics, arrange transportation, and make reservations as needed;
  • Customer Service
  • Respond to inquiries, resolve issues, and provide excellent customer service;
  • Build and maintain relationships with internal and external stakeholders;
  • Communication and Documentation
  • Create and distribute meeting minutes, agendas, and other materials;
  • Develop and maintain knowledge management systems, including documentation and training resources;
  • Time Management and Organization
  • Prioritize tasks, manage multiple projects, and meet deadlines;
  • Maintain accurate records, files, and databases;
  • Team Collaboration
  • Work collaboratively with cross-functional teams to achieve goals and objectives;
  • Provide guidance, support, and expertise to junior staff members;
  • Professional Development
  • Stay up-to-date with industry trends, best practices, and new technologies;
  • Participate in ongoing learning and professional development opportunities;
About You

To succeed in this role, you will need:

  • Education
  • Secondary (high) school graduation certificate or equivalent experience;
  • Experience
  • At least 1 year of experience in an administrative support role, preferably in an office environment;
  • Skills and Qualifications
  • Excellent written and verbal communication skills;
  • Strong organizational, time management, and prioritization skills;
  • Proficiency in Microsoft Office Suite, particularly Excel and Word;
  • Language Proficiency
  • English language proficiency is required; French language proficiency is an asset;
  • Other Requirements
  • A valid driver's license and reliable transportation;
  • Ability to work independently and as part of a team;
  • Adaptability, flexibility, and a positive attitude;
