This is a full-time position that will play a critical role in ensuring seamless communication with our customers, scheduling appointments, and providing exceptional service.

About the Role

We believe in creating unlimited possibilities for our customers and team members alike. As an Appointment Coordinator, you'll be responsible for handling customer calls, reviewing unconfirmed appointments, and making contact with customers to confirm or reschedule appointments when necessary. You'll also work closely with our service team to ensure all appointments are scheduled on time and that customers receive timely follow-up communication.

Responsibilities
  1. Handle customer inquiries regarding appointment schedules and provide timely follow-up communication.
  2. Review unconfirmed appointments and contact customers to confirm or reschedule appointments.
  3. Contact customers to make them aware of outstanding recalls or campaigns and book required appointments.
  4. Contact customers due for maintenance and book appointments accordingly.
  5. Offer alternative dates and times and book new appointments into the system when customers are unavailable.
  6. Monitor incoming email appointments and book as necessary.
  7. Conduct follow-ups with service customers shortly after their visit and document quality of service.
  8. Take note of customer comments and feedback and forward to the Service Manager.
  9. Update customer information on file.
  10. Report customer complaints to the Service Manager.
  11. Attend meetings and training as required.
Requirements
  • 2 years of experience in customer relations.
  • Strong organizational and people skills.
  • SOME KNOWLEDGE OF AUTOMOTIVE EQUIPMENT PARTS AND ACCESSORIES.
  • Good computer skills and ability to maintain records using a computerized appointment system.
  • Ability to communicate effectively with others and assimilate information consistent with job functions.
  • Ability to make sound decisions consistent with job functions.
