About the Job

The Administrative Support Specialist plays a crucial role in ensuring the efficient execution of the HR Leadership Team's agenda. This position requires strong organizational skills, attention to detail, and excellent communication abilities.

Main Responsibilities:

  1. Create and manage documents using VCNA brand standards, including letters, proposals, meeting minutes, presentations, and reports.
  2. Coordinate and schedule meetings with staff and executives, ensuring seamless communication and collaboration.
  3. Manage calendars, reserve conference rooms, and organize events as needed, considering the needs of all stakeholders.
  4. Respond to inquiries regarding internal and external policies, procedures, and programs, providing accurate and timely information.
  5. Track HR's tasks and projects, ensuring effective prioritization and coordination of initiatives.
  6. Plan and Coordinate Travel - Manage travel arrangements, complete expense reports, and facilitate smooth business trips.
  7. Track Key Performance Indicators analytics and reporting, providing valuable insights to inform business decisions.
  8. Cultivate strong relationships with other administrative assistants and HR Representatives across the organization, fostering a collaborative and supportive work environment.
  9. Assist with ad-hoc projects as needed, demonstrating flexibility and adaptability.

Requirements:

  • Post-secondary education in HR/Business or equivalent experience.
  • Exceptional time management and organizational skills in a fast-paced environment.
  • Able to prioritize and meet multiple deadlines, ensuring prompt delivery of results.
  • Proven ability to think strategically, solve problems creatively, and proactively follow through on commitments.
  • Highly proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint), with expertise in creating engaging presentations and reports.
  • Superior communication and interpersonal skills, with the ability to effectively present information to groups.
