About the Job
The Administrative Support Specialist plays a crucial role in ensuring the efficient execution of the HR Leadership Team's agenda. This position requires strong organizational skills, attention to detail, and excellent communication abilities.
Main Responsibilities:
- Create and manage documents using VCNA brand standards, including letters, proposals, meeting minutes, presentations, and reports.
- Coordinate and schedule meetings with staff and executives, ensuring seamless communication and collaboration.
- Manage calendars, reserve conference rooms, and organize events as needed, considering the needs of all stakeholders.
- Respond to inquiries regarding internal and external policies, procedures, and programs, providing accurate and timely information.
- Track HR's tasks and projects, ensuring effective prioritization and coordination of initiatives.
- Plan and Coordinate Travel - Manage travel arrangements, complete expense reports, and facilitate smooth business trips.
- Track Key Performance Indicators analytics and reporting, providing valuable insights to inform business decisions.
- Cultivate strong relationships with other administrative assistants and HR Representatives across the organization, fostering a collaborative and supportive work environment.
- Assist with ad-hoc projects as needed, demonstrating flexibility and adaptability.
Requirements:
- Post-secondary education in HR/Business or equivalent experience.
- Exceptional time management and organizational skills in a fast-paced environment.
- Able to prioritize and meet multiple deadlines, ensuring prompt delivery of results.
- Proven ability to think strategically, solve problems creatively, and proactively follow through on commitments.
- Highly proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint), with expertise in creating engaging presentations and reports.
- Superior communication and interpersonal skills, with the ability to effectively present information to groups.
