Job Overview:

The Accounts Payable Administrator will support site staff with the accounts payable process, ensuring compliance with organizational policies and procedures.

Responsibilities:

  • Setup and maintain user accounts, passwords, and security access to accounts payable databases.
  • Develop and implement efficient workflows and processes in accounts payable databases.
  • Communicate with internal and external clients to ensure workflows and access meet client needs.
  • Perform scheduled activities and run periodic reports.
  • Import data sync files from accounting systems and troubleshoot issues.
  • Provide training and support to system users on information requirements, process management, and application knowledge.
  • Create and maintain application-specific user procedures, guidelines, and documentation.
  • Identify recurring errors and recommend training, documents, and/or procedures to reduce errors.
  • Coordinate regular cheque runs, including printing, sorting, and mailing cheques.
  • Ensure cheques are delivered according to delivery instructions and coordinate couriers and pick-ups as required.
  • Pre-screen and coordinate new vendor setup requests outside of the third-party vendor compliance process.
  • Interface with vendors, managers, and outsourced qualification companies to qualify vendors by obtaining WCBs, COIs, etc.

Requirements:

  • 2-5 years of experience in a high-volume, numeric, typing, or data entry position.
  • Strong experience in Microsoft Excel, Word, and Outlook.
  • Excellent organizational skills to manage multiple tasks and tight deadlines.
  • High attention to detail.
  • Excellent verbal and written communication skills.
  • Excellent computer skills and experience with accounting software and Microsoft Office suite.
  • Ability to work independently and within a team environment.
