Job Summary

The Grants Awards Officer plays a crucial role in administering a large portfolio of unrestricted and restricted grant accounts for sponsored research. This position provides support to ORS Management and Officers as needed, ensuring compliance with Sponsor and UBC's ethical, conflict of interest, and financial requirements. Key responsibilities include creating and amending research grants using RISe and Workday, generating regular reports, and tracking key performance indicators.

Key Responsibilities
  1. Administer a large portfolio of grant accounts, coordinating work processes with UBC departmental and faculty units.
  2. Interpret funding agency and university policies to ensure compliance with administration and use of funds.
  3. Receive and review grant award letters and correspondence for input into the RISe database.
  4. Create and amend research grants using RISe and Workday, adhering to Sponsor and UBC's ethical and financial compliance requirements.
  5. Follow up with researchers and administrators on annual compliance renewals and audit-requested items.
  6. Interpret and navigate RISe and Workday grant and financial information for UBC faculty and staff.
  7. Run periodic and ad hoc queries to generate reports for ORS Management and Officers.
  8. Prepare budgetary reports and provide them to ORS Management and departments.
  9. Handle budgetary and cash inquiries from departments and take necessary actions to resolve them.
  10. Reconcile and analyze research accounts to ensure budget accuracy.
  11. Track KPI data on behalf of ORS Management and Officers.
  12. Support grant application processing during peak periods.
  13. Coordinate and provide training and support for faculty and staff on finance and compliance-related policies and procedures.
Requirements

This position requires a high school graduation, plus a Certificate in Accounting or Payroll CPA Level 1, plus four years of related experience, or an equivalent combination of education and related experience. The ideal candidate will demonstrate a commitment to enhancing their awareness, knowledge, and skills related to equity, diversity, and inclusion.

Preferred Qualifications

Related research administration and office experience or UBC experience is preferred. Completion of Workday training modules focused on Finance and HCM, working knowledge of UBC RISe system, and working knowledge of University research and finance policies are also desirable.
