Job Summary

Under the direction of the Payroll Manager, the Payroll Specialist is responsible for processing payroll for over 10,000 employees, preparing and validating employee payrolls and benefits, and providing service to employees. The Payroll Specialist must have a strong attention to detail and be able to work with competing deadlines in a timely and efficient manner.

Key Responsibilities:
  1. Prepare and process payroll for union and non-unionized employees, ensuring accuracy and compliance with required legislation, board policy, and collective agreements.
  2. Verify and process electronic and manual timesheets, import exception timesheets for EI rebates, and audit and process unpaid days.
  3. Process and verify change notices and information from Human Resource Services, including terminations, salary changes, sick time, and WSIB for all employees.
  4. Work collaboratively with Human Resource Services and Information and Technology Services to identify and resolve incorrect information.
  5. Calculate and make pay adjustments for late leaves of absence, and ensure manual cheques are updated and year-to-date figures are accurate.
  6. Investigate and resolve returned items from the bank, calculate and notify employees of overpayments, and calculate statutory holiday entitlements.
  7. Process, calculate, and maintain pre-paid leaves for teaching staff, and verify differences in salary based on category changes and experience for teachers.
  8. Review, prepare, and distribute validation reports, and perform administrative duties as required, including shredding, filing, and retrieval of archived documents.

The Payroll Specialist must have a strong knowledge of payroll systems, collective agreements, and pension plans, as well as excellent analytical and problem-solving skills. The ability to communicate confidential information with tact and discretion is also essential.
