Job Summary

We are seeking an exceptional Strategic Executive Support Specialist to join our team at the College of Physicians & Surgeons of Alberta. This is a critical role that requires excellent organizational skills, strong communication abilities, and the ability to maintain confidentiality.

Key Responsibilities
  • Business Partner to the Registrar & CEO:
    • Identify, prioritize, and plan business activities, including scheduling meetings and maintaining calendars.
    • Prepare meeting packages and follow up on action items, with detailed meeting minutes as needed.
    • Manage confidential correspondence on behalf of the Registrar & CEO.
    • Arrange out-of-town meetings, including travel and accommodation arrangements.
    • Reconcile executive monthly credit card statements.
    • Support high-risk and high-profile projects associated with the Registrar & CEO.
    • Prepare communications on behalf of the Registrar & CEO.
  • Council and Committee Support:
    • Participate in Council and committee meetings, providing administrative support.
    • Contribute to by-law, process, and policy reviews affecting Council and committees.
    • Manage Council and committee meeting logistics.
    • Prepare agendas, meeting dossiers, and minutes with follow-up on action items.
    • Support the onboarding and offboarding of Council members.
    • Develop communication avenues for Council and committees.
    • Collaborate on governance functions and tasks resulting from committee work.
  • Leadership and Collaboration:
    • Lead and support other Executive Assistants across CPSA.
    • Collaborate with teams and activities as required.
Requirements
  • Education:
    • Post-secondary diploma in administration or equivalent.
  • Experience:
    • 5-8 years of related administrative experience.
  • Skills:
    • Excellent verbal and written communication skills.
    • Proficiency in MS Office or Office 365, including MS Excel.
    • Multitasking and prioritization abilities.
    • Exceptional organizational skills and attention to detail.
    • Broad knowledge of the health system (an asset).
Compensation and Benefits

The salary for this position is $93,843, which includes a comprehensive benefit package and pension plan. A hybrid work arrangement may be considered after a successful probationary period. The successful candidate will be required to work from CPSA's downtown Edmonton office during the initial 90-day probationary period.
