Job Title: Mechanical Project Coordinator

Division 15 Mechanical Ltd. is seeking a highly organized and detail-oriented Mechanical Project Coordinator to join our team. As a key member of our project management team, you will be responsible for coordinating assigned commercial, institutional, and/or district energy mechanical contracts.

Key Responsibilities:
  • Review, stamp, and process shop drawings.
  • Set up and maintain shop drawing logs and binders.
  • Track and log incoming/outgoing plans and specifications.
  • Review and follow-up on purchase orders and back orders.
  • Prepare and update project mechanical schedules in Microsoft Project.
  • Review, process, and log requests for information (RFIs).
  • Estimate change notices and familiarize with estimating procedures.
  • Coordinate approved change orders with our staff, suppliers, and subtrades.
  • Conduct regular jobsite visits to keep site documents current.
  • Provide assistance to field staff to ensure our processes meet customer expectations.
  • Take regular dated photographs of progress on the jobsite and keep in a job-specific electronic file.
  • Record and issue Minutes of Meetings from site meetings with Project Managers' review and approval.
  • Perform the functions of the Construction Quality Control (CQC) Systems Manager on assigned projects in accordance with the company's Quality Control Program.
  • Obtain and compile maintenance manual information as required.
  • Coordinate and follow up on project close-out requirements.
  • Keep current on new products and services to ensure the company stays on the leading edge of technological advances.
  • Ensure all paperwork is handled in a timely and efficient manner.
Requirements:
  • A minimum of 2 years of experience in mechanical experience in the construction industry.
  • Successful completion of post-secondary Mechanical Engineering program or equivalent.
  • Well-organized with the ability to prioritize workload to meet deliverables and customer expectations.
  • Well-developed problem-solving skills with the ability to find solutions and incorporate them into existing practices as needed.
  • Proficient English oral and written communication skills. Able to follow verbal and written instructions and complete required paperwork accurately.
  • Possess the ability to read and interpret construction drawings and specifications.
  • Able to work both independently and as part of a team.
  • Able to use MS Office suite.
  • Experience with Sage 300/Timberline and Accubid Enterprise is preferred.
  • Possess Class 5 Driver's License.
