Job Summary

The Executive Assistant provides administrative support to the Cementation Americas Executive Team, handling confidential and sensitive information. This role requires discretion, judgment, and strong communication skills.

Key Responsibilities
  • Health and Safety
    • Work in compliance with all Health and Safety rules and regulations for Cementation.
    • Incorporate Health and Safety considerations in all functions and daily activities of the position.
    • Monitor work environment for health and safety hazards or infractions and report the same to the Health and Safety Department.
  • General Responsibilities
    • Provide confidential human resources support in various aspects of HR.
    • Provide direct senior-level administrative support to all members of the Executive Team.
    • Coordinate logistics of Executive Team Programs, including board and executive meetings, seminars, workshops, and special projects/events.
    • Prepare template and unique documents, reports, and presentations.
    • Review documents, reports, presentations, and correspondence for format, content, grammar, tense, narrative, and spelling and make edits as necessary.
    • Draft correspondence, both internally and externally, to key stakeholders on behalf of Executive members, individually or as a whole.
    • Review, evaluate, and distribute priority correspondence for members of the Executive Team.
    • Documentation and support relating to highly confidential matters, including minutes of executive and senior management meetings as required.
    • Prepare various monthly, quarterly, and annual reports.
    • Coordinate and book global travel for Executive Team members.
    • Complete expense reports, facilitate the payment of invoices, and other related duties, including requisitioning of supplies.
    • Sort and distribute Executive mail.
    • Organize and lead social events for corporate office employees.
    • Other duties as assigned.
    Requirements
    • Education and Experience
      • University degree in Business Administration or an acceptable combination of education and progressively responsible experience.
      • 10+ years of direct work experience reporting directly to a CEO or Senior Executive.
      • Experience working in the mining sector preferred.
    • Skills, Knowledge, and Abilities
      • Able to demonstrate discretion and judgment relating to highly confidential information.
      • Able to build and maintain lasting relationships with other departments, key business partners, and other stakeholders.
      • Strong knowledge of office procedures and practices.
      • Strong knowledge of Microsoft Office products, including Outlook, Excel, Word, PowerPoint, OneNote, Teams.
      • Exceptional written and oral communication skills.
      • Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision.
      • Possess problem-solving, critical thinking skills.
      • Resourceful and flexible.
      • Superior keyboarding skills.
      • Able to write and format moderately complex correspondence, including memos, letters, etc.
      • Able to work well with others while maintaining discretion and confidentiality.
      • Excellent writing skills, including proper spelling, grammar, and punctuation.
      • Knowledge of financial terms and principles would be considered an asset.
