Executive Support Professional

About the Role:

We are seeking an Executive Support Professional to join our team at Canada Inc. The successful candidate will be responsible for providing administrative support to senior executives and contributing to the smooth operation of our organization.

Key Responsibilities:
  • Direct and control daily operations, ensuring timely completion of tasks and projects.
  • Direct staff, providing guidance and oversight to ensure effective performance.
  • Evaluate daily operations, identifying areas for improvement and implementing changes as needed.
  • Open and distribute mail and other materials, maintaining a high level of organization and attention to detail.
  • Plan and control budget and expenditures, ensuring alignment with organizational goals.
  • Plan and organize daily operations, prioritizing tasks and managing time effectively.
  • Establish and implement policies and procedures, promoting a positive work environment.
  • Record and prepare minutes of meetings, seminars, and conferences, documenting key discussions and decisions.
  • Schedule and confirm appointments, ensuring seamless coordination with stakeholders.
  • Answer telephone and relay telephone calls and messages, providing exceptional customer service.
  • Answer electronic enquiries, responding promptly and professionally.
  • Oversee development of communication strategies, enhancing internal and external relationships.
  • Compile data, statistics, and other information, analyzing trends and making recommendations for improvement.
  • Order office supplies and maintain inventory, ensuring adequate stock levels and efficient procurement processes.
  • Arrange travel, related itineraries, and make reservations, coordinating logistics and minimizing delays.
  • Greet people and direct them to contacts or service areas, providing a warm and welcoming experience.
  • Set up and maintain manual and computerized information filing systems, ensuring accurate and up-to-date records.
  • Type and proofread correspondence, forms, and other documents, guaranteeing error-free and polished content.
  • Perform data entry, accurately capturing and recording essential information.
  • Provide customer service, responding to inquiries and resolving issues in a professional and courteous manner.
  • Maintain and manage digital databases, ensuring secure and reliable access to critical information.
  • Perform basic bookkeeping tasks, tracking financial transactions and reconciliations.
  • Consult with clients after sale to provide ongoing support, enhancing customer satisfaction and loyalty.
Supervision:

The successful candidate will have 1-2 people under their supervision.
