Job Summary

The Mon Sheong Foundation is seeking a highly organized and detail-oriented Reception and Clerical Assistant to join our team. This is a part-time, non-bargaining unit position located in downtown Toronto.

Key Responsibilities

  • Manage phone calls, monitor visitors, and receive deliveries in a timely and efficient manner.
  • Provide exceptional customer service to residents, families, staff, and visitors, responding to inquiries and resolving issues in a professional and courteous manner.
  • Monitor the lobby for safety and security purposes, ensuring a secure environment for all individuals.
  • Coordinate the delivery of incoming mail, invoices, and faxed documents to various departments, maintaining accurate records and ensuring timely distribution.
  • Direct visiting families, visitors, and meeting participants to the appropriate locations, providing clear and concise directions.
  • Prepare and post notices, memos, and flyers, maintaining a clean and organized workspace.
  • Translate documents from English to Chinese or vice versa, as required, to support communication with diverse stakeholders.
  • Perform various clerical duties, including filing, photocopying, and data entry, with a high level of accuracy and attention to detail.
  • Monitor parking lots, issue parking permits to staff, visitors, and volunteers, and inform the Dietary Department of meal orders and distribute meals as required.
  • Handle cheques and cash donations, maintaining accurate records and ensuring secure storage.
  • Assist with fundraising efforts for the Foundation Office and monitor the donation box at the reception counter.
  • Monitor the key box and borrowing of office equipment from the Administration office and educational materials from the Resource Centre.
  • Participate in the facility-wide quality assurance program, contributing to continuous improvement and excellence.

Requirements

  • Ontario Secondary School Diploma or equivalent.
  • Working knowledge of computer software to facilitate general office duties.
  • Typing skill with a minimum speed of 60 wpm.
  • Proficiency in both English and Chinese is an asset.
  • Experience working in an elderly/seniors/health care facility.
  • Experience with reception and office procedures.
