Job Summary

We are seeking a highly organized and detail-oriented Administrative Associate to join our Enrolment Services team at Douglas College. As an Administrative Associate, you will provide exceptional administrative support to the Registrar and Associate Registrars, ensuring the smooth operation of our department.

Key Responsibilities
  • Provide direct administrative support to the Registrar and Associate Registrars, including preparing agendas, records minutes, and related correspondence for Enrolment Services Meetings, staff meetings, and graduation meetings.
  • Facilitate student success in Enrolment Services by advising students on Enrolment Services requirements and policies, deadlines, and processes.
  • Assist with identifying potential issues related to student admission, registration, and success, and make recommendations to improve and streamline processes.
  • Provide administrative, procedural, and logistical support for the Department and Registrar/Associate Registrar's Office, including coordinating meetings, booking college rooms, and ordering office supplies.
  • Produce a variety of documents and correspondence for internal and external distribution, including letters, emails, spreadsheets, forms, agendas, and meeting minutes.
Requirements
  • Completed a one-year program in Office Administration or a related field at a recognized post-secondary institution (diploma/bachelor's degree preferred) combined with a minimum of two years related work experience, or an equivalent combination of education, training, and experience.
  • Good working knowledge of English together with strong oral and written communication skills.
  • Good working knowledge of the applicable College policies and procedures.
  • Proven ability to be flexible and adaptable in a dynamic, ever-changing environment.
  • Demonstrated ability to recognize, analyze, and resolve problems.
  • Proven ability to handle sensitive, confidential student, staff, and faculty information in a professional manner.
  • Demonstrated ability to communicate courteously and effectively in writing, in person, or on the telephone with staff, faculty, administrators, and students.
  • Maintain good working relationships with other employees.
  • Promote a positive and respectful work environment. Manage conflict appropriately and professionally.
  • Keyboard accurately at 50 wpm.
  • Use MS Word, Excel, Access, and PowerPoint at the advanced level, including ability to create and manage databases, and use electronic mail, internet, and web applications.
  • Proven experience with current business-office technology, practices, and procedures.
  • Demonstrated ability to work independently under minimum supervision to achieve assigned deadlines; ability to independently establish priorities for work assigned.
