Job Summary

The Maintenance Coordinator plays a critical role in ensuring the smooth operation of our Maintenance department. This position is responsible for coordinating the team, scheduling external contractors, and performing various administrative tasks.

Key Responsibilities

  • Assist the Maintenance Managers in coordinating the team's daily activities
  • Review and prioritize outstanding work orders
  • Communicate incident reports, damage, or any issues of concern to the team and stakeholders
  • Maintain accurate and up-to-date property records
  • Oversee and manage maintenance item inventory
  • Place orders for parts and materials
  • Execute seasonal projects and tasks
  • Coordinate the preventive maintenance program
  • Schedule routine vehicle fleet maintenance
  • Schedule maintenance work orders, contractor services, and other departmental needs
  • Review and process maintenance invoices
  • Develop expertise on our vacation homes, providing advice and direction to the team on troubleshooting and maintenance
  • Perform occasional home inspections to maintain knowledge of our properties
  • Respond to internal requests efficiently and provide follow-up details to other departments
  • Participate in operations training to build expertise in our luxury accommodations
  • Perform other duties as required, working collaboratively with the team to support each other

Requirements

  • Previous experience in a maintenance or construction office environment, preferably with planning, scheduling, and coordinating
  • Strong communication and interpersonal skills, with the ability to give directions and relay details effectively
  • High-level administration skills, including tracking, organizing, reporting, and proficiency in Excel
  • Ability to thrive in a fast-paced environment, working collaboratively with others to ensure a smooth operation
  • Strong working relationships with internal and external colleagues
  • Outgoing and friendly, with a positive and solution-focused attitude
