Job Summary

The Maintenance Coordinator plays a critical role in ensuring the smooth operation of our Maintenance department. This position requires strong communication, administration, and problem-solving skills, as well as the ability to work collaboratively with internal and external colleagues.

Key Responsibilities
  • Assist Maintenance Managers in coordinating daily team activities
  • Review and prioritize outstanding work orders
  • Communicate incident reports, damage, or concerns to relevant stakeholders
  • Maintain accurate property records and inventory
  • Oversee maintenance item inventory and place orders for parts
  • Execute seasonal projects and coordinate preventive maintenance programs
  • Schedule routine vehicle fleet maintenance and work orders
  • Review and process maintenance invoices
  • Develop expertise on vacation home specifics and provide guidance to team members
  • Conduct occasional home inspections to maintain knowledge base
  • Respond to internal requests efficiently and provide follow-up details
  • Participate in operations training to build expertise in luxury accommodations
  • Perform other duties as required, working collaboratively with the team
Requirements
  • Previous experience in maintenance or construction office environment, preferably with planning, scheduling, and coordination
  • Strong communication and administration skills, including Excel
  • Ability to thrive in a fast-paced environment and work collaboratively with others
  • Outgoing and friendly, with a positive and solution-focused outlook
