Job Title: Residential Property Administrator

Location: Toronto, ON

Job Type: Permanent – Full-time


Responsibilities:
  • Communicate effectively with residents and property managers to ensure seamless day-to-day operations.
  • Analyze and update monthly Management Reports for each property, working closely with property accountants to ensure accuracy and timeliness.
  • Ensure efficient electronic filing of all relevant documents, maintaining a secure and organized digital record.
  • Distribute reports to clients on a weekly basis, ensuring timely and accurate communication.
  • Process applications, conducting employment verification, landlord reference checks, and credit checks as required.
  • Set up approved leases and resident information in Yardi, preparing lease packages for clients.
  • Post monthly move-ins, ensuring a smooth transition for residents.
  • Notify tenants of important dates and deadlines, maintaining open communication.
  • Arrange new tenant hydro accounts, ensuring timely setup and activation.
  • Collect, sort, process, and enter rental payments in Yardi, maintaining accurate financial records.
  • Set up PAP for tenants, ensuring timely and accurate payment processing.
  • Post NSF payments, taking necessary steps to resolve outstanding balances.
  • Issue N4's – Notice of termination for non-payment of rent, following established procedures.
  • Prepare bank deposits and ensure proper filing of receipts, maintaining accurate financial records.
  • Issue other legal forms (N5, N6, N7), ensuring timely and accurate communication.
  • File legal notices with the Paralegal in a timely manner (L1, L2), maintaining open communication.
  • Ensure tenants adhere to LTB payment plans, taking necessary steps to resolve outstanding balances.
  • Enforce LTB orders with the enforcement office, maintaining a secure and organized digital record.
  • Prepare collection files for past tenants, ensuring timely and accurate communication.
  • Run monthly rent billings in Yardi, verifying accuracy and posting monthly billing.
  • Prepare N1's – Notice of Rent Increase, following established procedures.
  • Prepare annual tax receipts, maintaining accurate financial records.
  • Provide technical support for tenants and staff, ensuring seamless day-to-day operations.
Qualifications:
  • Minimum High School diploma (Grade 12/13)
  • A minimum of 2 years experience in leasing and property administration
  • Experience using Property Management Software such as Yardi is a must
  • Experience working with forms: (N5, N6, N7)
  • Solid working knowledge of residential property administration.
  • Strong computer skills: Excellent knowledge of Word, Excel, PowerPoint, and Microsoft Outlook, with the ability to learn Yardi Voyager and Property Vista.
