We seek a Finance and Operations Coordinator to join our creative family.

This role provides support to the experiential marketing division and finance department, including:

  • Maintaining accurate accounts payable and receivable, cash flow forecasts
  • Managing financial accounting systems, assisting with program reconciliations, cost/budget management

This position reports to the Finance Controller regarding finance matters.

Key responsibilities include:

Account Receivables:
  • Updating client PO database and status
  • Invoice submissions/scheduling
  • Client management systems (Tungsten, Taulia & Ariba)
  • Assisting in client communications for open invoices
  • Creating A/R invoices
Job Opening Process:
  • Managing project management systems
  • Configuration, invoice scheduling, ensuring data updates on a regular basis
  • Month-end Reconciliation:
  • Processing month-end credit card reconciliations
  • Ensuring all supplier invoices are approved/processed timely
Accounts Payables:
  • Purchase Order review
  • AP automation tool processing
  • Weekly vendor cheque run assistance
  • Supporting the Finance controller with supplier communications
  • Administering other agency tools (expense app, travel booking system)
Training:
  • New employee onboarding

Required skills and qualifications include:

  • Post-secondary degree in relevant field (Accounting/Finance/Business administration)
  • Experience with accounting software an asset (job-based accounting)
  • Federal and provincial tax understanding
  • Proficiency with MSFT Office products, including Excel
  • Organization, detail orientation, workflow management efficiency
  • Strong communication skills – verbal and written
  • Reliability, meeting deadlines

A competitive salary of $65,000 - $80,000 per year is offered, depending on experience.
