The Invictus Games 2025 offers a unique opportunity to be part of a dynamic team as a Workforce Coordinator in Vancouver. This role is responsible for managing all administrative aspects related to the support of the Workforce team, encompassing staff, volunteers, and contractors. The ideal candidate will possess meticulous attention to detail, excellent organizational skills, and effective communication abilities.

Key Responsibilities
  • Collaborate with Functional Area (FA) leads to understand volunteer staffing needs, ensuring seamless coordination across teams.
  • Manage workforce planning data and change management process, maintaining up-to-date records and facilitating adjustments as required.
  • Coordinate training session invites and RSVPs, ensuring timely responses and smooth logistical arrangements.
  • Utilize Rosterfy scheduling software to create, update, and maintain the workforce schedule, taking into account complex scheduling requirements.
  • Assist in managing volunteer roster information within Rosterfy, ensuring accurate and efficient data management.
  • Facilitate the process for requesting and approving shift changes, time-off requests, and substitutions, promoting flexibility and adaptability.
  • Maintain clear communication channels to address scheduling conflicts and resolve staffing issues promptly, fostering a collaborative work environment.
  • Communicate schedule updates to all relevant parties, ensuring everyone is informed and aligned with changing schedules.
  • Adhere to all relevant regulations, safety protocols, and organizational policies related to workforce, prioritizing the well-being and security of staff, volunteers, and contractors.
Requirements and Qualifications
  • A minimum of 2 years' experience in workforce scheduling, preferably in major events or sports industry, demonstrating expertise and knowledge in this field.
  • Proficiency in scheduling software or tools, such as Rosterfy, showcasing ability to learn and adapt to new systems.
  • Strong organizational skills with the ability to multitask and prioritize competing demands, ensuring timely completion of tasks and meeting deadlines.
  • Excellent communication and interpersonal skills, enabling effective collaboration with diverse teams and stakeholders.
  • Attention to detail and accuracy in managing schedules and data, guaranteeing precision and reliability.
  • Flexibility to adapt to changing priorities and unforeseen circumstances during the event, showcasing resilience and problem-solving skills.
  • Knowledge of labor laws, regulations, and best practices in workforce management, ensuring compliance and adherence to industry standards.
