Job SummaryWe are seeking a detail-oriented and analytical Rentals Administrator to join our team. The successful candidate will be responsible for rental and fleet administration for our Water Transfer Division, ensuring efficient management and cost-effectiveness.
Key Responsibilities- End-to-end vendor relationship management, including vendor onboarding, communication, and monitoring of payment terms and credit
- Purchase Order management for materials and services
- Tracking current and returned rentals, daily review of vehicle alerts/status via Geotab, and maintenance and KM tracking
- File de-mob and pre-mob inspections, noting any maintenance and deficiencies, and communicating these to the appropriate position
- Three-way matching of purchase orders to invoices to flag and resolve discrepancies
- Routing and management of the approval process to comply with internal control requirements and approval deadlines
- Ongoing reconciliation of vendor statements to internal accounting records
- Timely and accurate data entry and coding of invoice information to the system
- Assist with month-end and closing out rental PO's
- Diploma or degree in accounting, finance, or a related field of study
- Relevant accounts payable experience
- Knowledge of accounting ERP software, field service software, and invoice processing software
- Strong analytical and critical thinking skills, time management, and organizational skills
- Detail-oriented and takes initiative, with a solid understanding of basic bookkeeping and accounting payable principles
- Confident and effective communicator, with a mindset of cost-effectiveness and business process efficiency
