Project Coordinator Job Description

At MaxPeopleHR, we are seeking a highly skilled and organized Project Coordinator to join our team. As a Project Coordinator, you will play a critical role in ensuring the successful execution of projects from start to finish.

Key Responsibilities:
  • Manage project documentation, including contracts, drawings, purchase orders, and shop drawings.
  • Review project contract scope against bid scope and reconcile differences with the General Contractor.
  • Develop purchase order documentation for vendors and subcontractors based on quotations and project requirements.
  • Prepare project schedules and budgets, and support the Project Manager and Site Supervisors in managing the schedule and budget.
  • Coordinate with the General Contractor, Owner, and Engineer to resolve issues and ensure project completion.
  • Develop progress invoices for the project on a regular schedule and coordinate all billing issues with the General Contractor or Owner.
  • Monitor progress billing and subcontractor billing to ensure timely cash flow.
  • Support the Project Manager and Site Supervisors in coordinating subcontractors and resolving scope and billing issues.
  • Develop the O&M manual package throughout the project and coordinate submissions and maintenance of as-built drawings.
  • Implement project closeout tasks, including a billing review, and ensure all project-related documentation follows company procedures.
Requirements:
  • 3-5 years of experience as a Project Coordinator in the ICI Construction industry.
  • Excellent understanding of the mechanical trade and construction process.
  • Diploma or degree from a construction-related program is an asset.
  • Licensing/Red Seal in a specific trade or equivalent experience is an asset.
  • Proficient working knowledge of Procore, Change Order, Accubid, or equivalent software.
  • Good communication skills, both verbal and written.
  • Driver's license in good standing and flexibility to travel to job sites when required.
