Job Summary
We are seeking a highly skilled Project Coordinator to join our team at MaxPeopleHR. As a Project Coordinator, you will play a crucial role in managing technical communications, documents, purchase orders, and invoicing related to a project.
Key Responsibilities
- Manage project documentation, including contracts, drawings, purchase orders, shop drawings, and all correspondence.
- Review project contract scope against bid scope and reconcile differences with the general contractor.
- Develop purchase order documentation for vendors and subcontractors based on quotations and project requirements.
- Prepare a project schedule and overall project budget, and support the project manager and site supervisors to manage the schedule and budget.
- During project handover from estimating, review project specifications, drawings, equipment purchase orders, subcontractor purchase orders, schedules, and budget data, and all other project-related documentation.
- Obtain and review shop drawings, coordinate approval with the general contractor and engineer, and determine if shop drawings are applicable and accurate.
- Assist site supervisors in coordinating subcontractors.
- Conduct field meetings and minutes with the project manager and site supervisors.
- Track and coordinate all vendor shop drawings and delivery dates with site supervisors.
- Prepare request for information (RFI), generate change orders, and/or work orders.
- Coordinate with the general contractor, owner, or engineer to resolve issues.
- Develop progress invoices for the project on a regular schedule, coordinate all billing issues with the general contractor or owner, and work with the general contractor to negotiate a schedule of values.
- Regularly monitor progress billing and subcontractor billing to ensure timely cash flow, and determine what subcontractor progress billing levels should be if an invoice is not received.
- Negotiate with subcontractors in the best interest of MaxPeopleHR when issuing purchase orders.
- Resolve subcontractor scope and billing issues with minor support from the site supervisors and project manager.
- Develop the O&M manual package throughout the project.
- Coordinate submissions and maintain the as-built drawings for the project.
- At project completion, determine that all project invoicing has been completed.
- At "near" project completion, implement the necessary tasks to achieve project closeout, including a billing review.
- Support operations management in specific projects assigned.
- Support other project coordinators as needed.
- Be accountable for mentoring other project coordinators and site supervisors.
- Support field staff and projects using technical skills and equipment as required/as skillset supports.
- Manage project forecasting activities and required follow-ups.
- Ensure all project-related documentation follows MaxPeopleHR procedures.
- Perform other duties as required.
Requirements
- 3-5 years' project coordinator experience in the ICI construction industry. Mid-rise residential also considered.
- Very good understanding of the mechanical trade and construction process.
- Diploma or degree from a construction-related program is an asset.
- Licensing/Red Seal in their specific trade or equivalent experience, an asset.
- Demonstrated ability to balance tasks related to multiple construction projects.
- Proficient working knowledge of Procore, Change Order, Accubid, or equivalent software.
- Good communication skills, both verbal and written.
- Driver's license in good standing and flexibility to travel to job sites when required.
