Job Summary

We are seeking an experienced Office Administrative Assistant to join our team at JFP Immigration. As a key member of our consulting firm, you will be responsible for providing administrative support to our staff and clients.

Key Responsibilities
  • Record and prepare minutes of meetings, seminars, and conferences
  • Schedule and confirm appointments
  • Manage contracts
  • Answer telephone and relay telephone calls and messages
  • Answer electronic enquiries
  • Oversee the development of communication strategies
  • Oversee the preparation of reports
  • Organize staff consultation and grievance procedures
  • Greet people and direct them to contacts or service areas
  • Set up and maintain manual and computerized information filing systems
  • Type and proofread correspondence, forms, and other documents
  • Conduct research
  • Perform data entry
  • Provide customer service
  • Work with the marketing department to understand and communicate marketing messages to the field
  • Perform basic bookkeeping tasks
  • Consult with clients after sale to provide ongoing support
  • Supervise office and volunteer staff
  • Plan, organize, direct, control, and evaluate daily operations
