Administrative Coordinator, Global Banking and Markets

About the Role
The Administrative Assistant will provide administrative support to the Global Banking and Markets team at Banque Scotia. The successful candidate will be responsible for coordinating meetings, preparing documents, and maintaining accurate records.
Key Responsibilities
- Establish priorities to ensure timely completion of tasks and achievement of objectives.
- Provide excellent customer service to internal and external clients.
- Foster a high-performance work environment and contribute to an inclusive workplace.
- Participate in special projects to support the management team, including data collection and compilation, event planning, and research.
- Write or revise communications for the senior leadership team.
Client Support
- Manage schedules: Coordinate team schedules and arrange meetings with clients as needed. Manage logistics, including room reservations, technical support, and catering.
- Voyages and Travel: Organize and coordinate travel, including international trips, plan itineraries, and track expenses.
- Expense Management: Record receipts and prepare detailed expense reports for approval and payment, ensuring the use of the correct client code.
- Client Interactions: Provide support for maintaining client data (names, titles, contact information, etc.) using Excel and Salesforce, updating call reports, etc.
- Client Events: Organize and coordinate client events, including reservations, planning, invitations, and follow-ups with clients.
- Client Files and Documentation: Organize, copy, and maintain administrative files, correspondence, and other documents as needed. Link presentations, if necessary, using the Banque Scotia document linking system.
- Telphony: Answer phone calls and filter them using a multi-line system, organize conference calls and video conferences using preferred Banque Scotia vendors.
Operations and Administrative Team Support
- Participate in the employee onboarding and offboarding process, in collaboration with HR and Technology and Facilities teams.
- Act as a resource person for visiting personnel. Pre-register all guests, including employees from other offices. Offer local support, including preparing access cards, workspaces, meeting rooms, etc.
- Replace other administrative assistants during lunch breaks, breaks, end-of-day shifts, sick leave, and other absences, and share administrative team responsibilities to support the sector team and Global Banking and Markets activities.
- Understand and respect the policies implemented by the Global Banking and Markets team. Lead the team and ensure they have the necessary support to demonstrate respect for policies and procedures.
- Actively participate in the smooth operation of their sector, ensuring convenience, respect, and operational control, and meeting risk operational, misconduct, LCBA/LCFT, and regulatory compliance obligations.
Work Arrangement
This position is currently offered in a hybrid mode. It is expected that the incumbent will work at least three days a week in the office. Please note that this may change based on business needs.
