Key Responsibilities

  • Organize and expedite the flow of work through the professional's practice, initiating follow-up actions as necessary.
  • Prepare legal documents and correspondence with minimal direction, ensuring accuracy and attention to detail.
  • Transcribe and type legal documents and correspondence, maintaining confidentiality and discretion.
  • Liaise between the legal professionals and various internal and external individuals, groups, and clients at all levels, fostering strong relationships and communication.
  • Prepare, amend, and attend to electronic filings and prosecution of Canadian trademark applications and related reports, ensuring timely and accurate submissions.
  • Monitor deadlines, send reminders, and assist with the preparation and filing of reports to clients and responses to deadlines, maintaining a high level of organization and attention to detail.
  • Prepare dockets and accounts for approval, demonstrating proficiency with accounting and billing procedures.
  • Prepare routine correspondence, administrative tasks, and maintain client contact information in database, ensuring accuracy and up-to-date records.
  • Prioritize incoming work, follow through on assignments, and manage ongoing tasks, working efficiently and effectively in a fast-paced environment.
  • Implement and maintain practice management systems on behalf of busy professionals, ensuring seamless workflow and minimal disruptions.
  • Open and close files, maintaining accurate records and ensuring compliance with relevant regulations.
  • Work proactively in the day-to-day support of the professional's Intellectual Property practice, providing exceptional support and service.
  • Work effectively as part of an Intellectual Property team, collaborating with colleagues and professionals to achieve common goals.
  • Use initiative and good judgment to relieve the professional of administrative detail, ensuring timely and accurate completion of tasks.

Qualifications

  • Administrative Assistant or Legal Administrative Assistant Diploma with a minimum of 5 years' experience in Intellectual Property, with a focus on Trademarks.
  • Strong knowledge of Microsoft Office Suite, with proficiency in word processing, spreadsheets, and presentation software.
  • Good keyboard and dictation typing skills, with the ability to work accurately and efficiently in a fast-paced environment.
  • Ability to work in a team environment, with a professional demeanor and strong communication skills.
  • Strong written, oral, and verbal communication skills, with the ability to articulate complex ideas and concepts.
  • Thorough, conscientious, and strong proofreading skills, with attention to detail and accuracy.
  • Ability to multi-task within a fast-paced environment, with a high level of organization and time management skills.
