Job Title: Office Administrative Assistant

We are seeking a highly organized and detail-oriented Office Administrative Assistant to join our team at Ontario Inc. in a permanent position.

Job Summary:

The successful candidate will be responsible for coordinating the flow of information within the team, directing and controlling daily operations, and supervising staff. They will also be responsible for planning and organizing daily operations, determining and establishing office procedures and routines, and overseeing the classification and rating of occupations.

  • Open and distribute mail and other materials
  • Plan and organize daily operations
  • Supervise other workers
  • Determine and establish office procedures and routines
  • Oversee the classification and rating of occupations
  • Schedule and confirm appointments
  • Manage training and development strategies
  • Oversee the analysis of employee data and information
  • Answer electronic enquiries
  • Oversee development of communication strategies
  • Compile data, statistics and other information
  • Oversee the preparation of reports
  • Advise senior management
  • Respond to employee questions and complaints
  • Order office supplies and maintain inventory
  • Liaise with management, union officials and HR consultants
  • Organize staff consultation and grievance procedures
  • Arrange travel, related itineraries and make reservations
  • Greet people and direct them to contacts or service areas
  • Set up and maintain manual and computerized information filing systems
  • Type and proofread correspondence, forms and other documents
  • Conduct research
  • Perform data entry
  • Provide customer service
  • Work with the marketing department to understand and communicate marketing messages to the field
  • Maintain and manage digital database
  • Perform basic bookkeeping tasks
  • Consult with clients after sale to provide ongoing support
  • Conduct performance reviews
  • Evaluate work environments, programs and procedures to control, eliminate, and prevent disease or injury
  • Supervise office and volunteer staff
Requirements:
  • College, CEGEP or other non-university certificate or diploma from a program of 1 year to 2 years
  • Experience an asset
Work Environment:

The successful candidate will work in a fast-paced environment with tight deadlines and a large workload. They will be required to work independently and as part of a team, and will be expected to multitask and prioritize tasks effectively.
