Job Title: Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at AA Business Consultancy.

Key Responsibilities:
  • Establish and implement policies and procedures to ensure efficient office operations.
  • Record and prepare minutes of meetings, seminars, and conferences, and maintain accurate records.
  • Manage contracts, agreements, and other documents, and ensure compliance with company policies.
  • Provide exceptional customer service, responding to telephone and electronic enquiries in a timely and professional manner.
  • Compile data, statistics, and other information to support business decisions, and maintain accurate and up-to-date records.
  • Set up and maintain manual and computerized information filing systems, and ensure data security and confidentiality.
  • Carry out administrative tasks, including answering phone calls, responding to emails, and preparing correspondence.
  • Oversee and coordinate office administrative procedures, ensuring timely completion of tasks and deadlines.
  • Review and evaluate new administrative procedures, and implement improvements to increase efficiency and productivity.
  • Establish work priorities, and ensure procedures are followed and deadlines are met.
  • Coordinate and plan for office services, including accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services.
  • Assist in the preparation of operating budgets, and maintain inventory and budgetary controls.
  • Assemble data and prepare periodic and special reports, manuals, and correspondence, using Microsoft Publisher, MS Excel, MS Outlook, MS PowerPoint, MS Word, and other software.
Requirements:
  • 1 year to less than 2 years of experience in an administrative role.
  • Excellent oral and written communication skills, with the ability to communicate effectively with colleagues, clients, and stakeholders.
  • Flexibility, reliability, and efficiency in a fast-paced environment.
  • Ability to work under pressure, meet deadlines, and maintain attention to detail.
  • Proficiency in Microsoft Office, including Publisher, Excel, Outlook, PowerPoint, and Word.
  • Knowledge of accounting software and inventory control software.
Work Environment:

Our office is a fast-paced environment with tight deadlines, and we require our Administrative Assistant to be able to work effectively in this setting.
