Administrative Support Specialist

The Parliament of Canada is seeking an Executive Assistant to support the Member of Parliament for Alfred-Pellan in his constituency office. The successful candidate will provide administrative and operational support to the Member and his staff, ensuring the smooth day-to-day running of the office.
Duties and Responsibilities:
- Provide various administrative and operational services to the Member and his staff.
- Identify, develop, and implement administrative processes and procedures that support the Member's office activities.
- Manage budgets for the Member while ensuring that House of Commons rules and policies are strictly followed.
- Format complex documents, including forms, memos, minutes, reports, and presentations.
- Research various topics, compile data, and prepare reports as required.
- Maintain and ensure accuracy and consistency of the CRM database.
- Maintain the Member's schedule, review and discuss his commitments, schedule meetings/events, and inform him of any changes, and ensure relevant rules and guidelines are respected.
- Develop and implement strategies to engage with the community and build relationships with local officials, businesses, and organizations.
- Represent the Member professionally and effectively in interactions with constituents and provide quality customer service.
Qualifications and Skills:
- Successful completion of post-secondary education from a recognized institution or acceptable combination of education, training, and relevant experience.
- Experience working in an office in an administrative support position.
- Knowledge of administrative methods, techniques, and practices.
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
- Excellent communications skills and command of written French.
- Tact, diplomacy, high degree of discretion, and skill in building and maintaining professional work relationships.
Assets:
- Knowledge of the political environment is an asset.
- Bilingualism is imperative.
