Administrative Support Specialist for Parliamentary Constituency

The Parliament of Canada is seeking a highly skilled and proactive Executive Assistant to provide executive and administrative support services to its Member of Parliament. The ideal candidate will possess exceptional communications skills, thrive in a dynamic work environment, and be perfectly bilingual.
About the RoleThis role plays an essential part in the day-to-day running of the office and provides vital support to the Member. The incumbent reports directly to the Member and is responsible for providing various administrative and operational services to ensure seamless daily activities.
The successful candidate will have a proven track record of identifying, developing, and implementing effective administrative processes and procedures that support the Member's office activities. They will also manage budgets while adhering to House of Commons rules and policies.
Key Responsibilities- Provides administrative support to the Member and his staff, ensuring day-to-day activities run smoothly.
- Develops and implements administrative processes and procedures that support the Member's office activities.
- Manages budgets for the Member, adhering to House of Commons rules and policies.
- Formats complex documents, including forms, memos, minutes, reports, and presentations.
- Researches topics, compiles data, and prepares reports as required.
- Maintains the accuracy and consistency of the CRM database.
- Manages the Member's schedule, reviews commitments, schedules meetings/events, and informs the Member of any changes.
- Develops strategies to engage with the community and builds relationships with local officials, businesses, and organizations.
- Represents the Member professionally and effectively in interactions with constituents and provides quality customer service.
To be successful in this role, you will need:
- Post-secondary education from a recognized institution or an acceptable combination of education, training, and relevant experience.
- Experience working in an office in an administrative support position.
- Knowledge of administrative methods, techniques, and practices.
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
- Excellent communication skills and command of written French.
- Tact, diplomacy, high degree of discretion, and skill in building and maintaining professional work relationships.
$60,000 - $80,000 per year, based on qualifications and experience.
