Osler is a leading law firm seeking an experienced Senior Event Planning Specialist to join our Client & Business Development Team in Calgary. The successful candidate will play a key role in delivering exceptional client experiences through the planning and execution of seminars, social events, and other corporate gatherings.

Key Responsibilities:
  • Coordinate all aspects of off-site and on-site external client events, including venue selection, catering, invitations, RSVPs, layout, vendor management, and logistics.
  • Collaborate with the Client Development team to determine event objectives, audience, format, scope, and budget.
  • Develop innovative event concepts and proposals for Client Development and lawyer approval.
  • Evaluate event details, ensuring every aspect is thoroughly planned and executed, including last-minute quality checks.
  • Manage the firm's client gifting program, sourcing new and interesting products to maintain a positive client experience.
  • Review final billing submitted to Client Development for events and prepare comprehensive reports.
  • Provide recommendations for restaurant bookings and private room arrangements for smaller client dinners and lunches, as well as creating targeted mailing lists for invitations.
  • Maintain virtual event technology requirements, including CRM (OnePlace), CMS (Kentico), Zoom, and preferred webinar platform ON24.
  • Attend most events to ensure objectives are met.
Requirements:
  • Bachelor's degree in Hospitality, Marketing, or related field.
  • Minimum three years of experience in event planning and execution.
  • Proven track record in managing complex events, with attention to detail and creativity.
  • Strong understanding of event management principles, methods, and techniques.
  • Proficiency in MS Office, including Word, Excel, Outlook, and PowerPoint.
  • Excellent written and oral communication skills.
  • Able to take ownership of projects and multitask multiple concurrent events.
What We Offer:
