About the Role

We are seeking an Executive Support Assistant to join our team at Green & Gold Cleaning. This is a permanent position, working 36 hours per week. The successful candidate will have a college diploma or equivalent and less than 7 months of experience.

Key Responsibilities
  • Seminar and Event Coordination: Arrange and coordinate seminars, conferences, and other events.
  • Information Flow Management: Coordinate the flow of information within the team.
  • Daily Operations Direction: Direct and control daily operations, ensuring smooth execution.
  • Mail and Materials Distribution: Open and distribute mail and other materials in a timely manner.
  • Daily Operations Planning: Plan and organize daily operations to meet deadlines.
  • Staff Training: Provide training to staff members as needed.
  • Meeting Minutes Preparation: Record and prepare minutes of meetings, seminars, and conferences.
  • Office Procedures Establishment: Determine and establish office procedures and routines.
  • Appointments Scheduling: Schedule and confirm appointments with clients and stakeholders.
  • Telephone and Electronic Communication: Answer telephone calls and relay messages, respond to electronic enquiries.
  • Data Compilation: Compile data, statistics, and other information for reports and analysis.
  • Report Preparation: Oversee the preparation of reports, ensuring accuracy and timeliness.
  • Employee Support: Respond to employee questions and complaints, providing guidance and support.
  • Office Supplies Management: Order office supplies and maintain inventory levels.
  • Travel Arrangements: Arrange travel, related itineraries, and make reservations as needed.
  • Greeting and Direction: Greet people and direct them to contacts or service areas.
  • Information Filing Systems: Set up and maintain manual and computerized information filing systems.
  • Correspondence and Document Preparation: Type and proofread correspondence, forms, and other documents, perform data entry tasks.
  • Staffing and Recruitment: Recruit and hire workers, carry out related staffing actions.
  • Digital Database Management: Maintain and manage digital databases, ensuring accuracy and security.
Technical Skills
  • Microsoft Office Suite: Proficient in MS Excel, MS PowerPoint, MS Windows, MS Word, and MS Access.
  • Human Resources Software: Experienced with human resources software applications.
  • QuickBooks: Knowledgeable in QuickBooks accounting software.
