Job Summary

We are seeking a highly organized and detail-oriented Medical Administrative Assistant to join our team at Mountainview Medical Centre & Walk-In Clinic Inc. The successful candidate will be responsible for providing administrative support to our medical staff, ensuring the smooth operation of our office.

Key Responsibilities
  • Interview patients to obtain case histories and maintain accurate records
  • Manage incoming mail and other materials, and distribute them to the appropriate staff members
  • Schedule and confirm appointments, and maintain a calendar of upcoming events
  • Complete insurance and other claim forms, and maintain accurate records
  • Maintain a filing system, and ensure that all documents are up-to-date and easily accessible
  • Order supplies and maintain inventory, and ensure that the office is well-stocked and equipped
  • Determine and establish office procedures and routines, and ensure that they are followed by all staff members
  • Enter and format electronically based medical reports and correspondence, and prepare spreadsheets and documents for review
  • Initiate and maintain confidential medical files and records, and ensure that they are secure and protected
  • Provide excellent customer service, and respond to patient inquiries and concerns in a timely and professional manner
Requirements
  • College, CEGEP or other non-university certificate or diploma from a program of 1 year to 2 years
  • 1 to less than 7 months of experience in a medical office setting
  • Excellent communication and interpersonal skills, and the ability to work effectively in a fast-paced environment
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Proficiency in MS Word, MS Excel, and other Microsoft Office applications
  • Ability to work independently and as part of a team, and to prioritize tasks and manage time effectively
