Senior Administrative Assistant

Grandmaster Financial Planning, a leading boutique firm in Ottawa, is seeking a highly organized and experienced Senior Administrative Assistant to support our team. This role plays a crucial part in ensuring smooth daily operations and exceptional client satisfaction.

Key Responsibilities:
  • Provide exceptional administrative support to senior management and staff.
  • Manage complex calendars, schedule meetings, and coordinate appointments with precision.
  • Handle correspondence, manage emails, and respond to inquiries in a timely and professional manner.
  • Maintain and organize filing systems, both electronic and physical, ensuring accurate record-keeping.
  • Prepare and format documents, reports, and presentations with attention to detail.
  • Assist with client onboarding and database management.
  • Uphold confidentiality and professionalism in all interactions.
  • Organize company events, meetings, and travel arrangements.
  • Serve as the first point of contact for visitors and phone inquiries, providing outstanding customer service.
Requirements:
  • Fully bilingual in French & English (essential)
  • Proficiency in MS Office Suite (Excel, PowerPoint, Word, Outlook)
  • Familiarity with CRMs
  • Strong knowledge of office management systems and procedures
  • Ability to manage complex scheduling and prioritize tasks
  • Tech-savvy and adaptable to new tools quickly
Preferred Qualifications:
  • Minimum of 5+ years in administrative roles
  • Proven experience managing office operations in a professional environment
  • Demonstrated success supporting senior management
  • Advantage will be given to administrative assistants with experience in a service business and/or financial advisory
