Job Summary

As a Client Services Administrator at Paladin Technologies, you will play a vital role in supporting our client service and operations department. Your primary responsibilities will include invoicing and billing, as well as external customer service requests. This is a 6-month temporary position that requires strong administrative skills and attention to detail.

Key Responsibilities
  • Prepare service work orders, including processing subcontractor invoices and verifying customer pricing for materials and labor.
  • Verify data accuracy, status, and proper customer PO information on all work orders.
  • Update and verify D365 service alerts for client pricing and other client-specific information.
  • Review technician notes to ensure materials billed to clients match materials used.
  • Support client services and operational departments, assisting with presentations and document preparation for customer-facing documents.
  • Follow D365 company and department procedures.
  • Coordinate with Client Service Representatives and operational leadership to assist customers with billing and invoice revisions.

General Accountabilities
  • Represent the company in a professional manner, maximizing client satisfaction.
  • Be available to work outside of or in addition to normal business hours.
  • Work in compliance with the company's policies and procedures, prioritizing safety and security.
  • Maintain and protect assigned company assets.
  • Accurately maintain written records, submitted on time and complete.

Requirements
  • High School Diploma or GED.
  • 1 year of experience with general administrative duties in an office environment.

Preferred Qualifications
  • 1 year of experience in customer service.
  • Basic accounting and accounts receivable knowledge.
  • Proficiency with Microsoft Office and computerized business systems.

  • Excellent keyboarding skills.
  • Ability to work in a high-volume atmosphere.
  • Ability to solve practical problems and work under minimal supervision.
  • Ability to organize workload effectively and multitask under deadlines.
  • Excellent interpersonal skills, including customer service skills.

Physical Demands
  • Must be able to communicate effectively and operate office equipment.
  • Position requires sitting and working at a computer for extended periods.

Pay Rate
$19 - $23/hour DOE
