Job Summary

We are seeking a highly organized and detail-oriented Client Services Administrator to support our client service and operations department. The ideal candidate will have excellent communication skills, a strong work ethic, and the ability to work in a fast-paced environment.

Responsibilities

- Prepare service work orders, including processing subcontractor invoices and verifying customer pricing for materials and labor
- Review and verify data accuracy, status, and proper customer PO information on all work orders
- Update and verify D365 service alerts for client pricing and other client-specific information
- Review technician notes to ensure materials noted as being used match materials being billed to the client on work orders
- Provide support to client services and operational departments, assisting with presentations and document preparation for customer-facing documents
- Follow D365 company and department procedures
- Coordinate with Client Service Representatives and operational leadership to assist customers with billing and invoice revisions

Requirements

- High School Diploma or GED
- 1 year of experience with general administrative duties in an office environment

Preferred Qualifications

- 1 year of experience in customer service
- Basic accounting and accounts receivable knowledge
- Proficiency with Microsoft Office and computerized business systems as demonstrated by a minimum of 1 year of experience

- Ability to solve practical problems and carry out responsibilities under minimal supervision
- Ability to organize workload for effective implementation, including the ability to multi-task while under deadlines or time constraints

- Ability to write simple correspondence and present information in one-on-one and small group situations
- Ability to interact effectively at all levels and across diverse cultures
- Ability to function as an effective team member
- Ability to adapt as the external environment and organization evolves

Physical Demands

- Must be able to effectively communicate, including seeing, hearing, speaking, and writing clearly, in order to communicate with colleagues and/or customers; manual dexterity required for occasional reaching, lifting of light office objects, and operating office equipment
- Position is a desk job requiring the use of a computer, keyboard, and phone
