Job Title: Administrative Assistant

Job Summary

We are seeking an experienced Administrative Assistant to join our team at Nijjar Immigration Services Inc. The successful candidate will be responsible for providing administrative support to our team, ensuring the smooth day-to-day operation of our office.


Key Responsibilities
  • Provide administrative support to our team, including answering phones, responding to emails, and preparing correspondence.
  • Assist with data entry, record-keeping, and filing.
  • Coordinate travel arrangements and book meetings as needed.
  • Perform other administrative tasks as required.
  • Supervise and train other workers as needed.
  • Train other workers and record and prepare minutes of meetings, seminars, and conferences.
  • Determine and establish office procedures and routines.
  • Answer telephone and relay telephone calls and messages.
  • Answer electronic enquiries and compile data, statistics, and other information.
  • Oversee the preparation of reports and advise senior management.
  • Respond to employee questions and complaints and order office supplies and maintain inventory.
  • Type and proofread correspondence, forms, and other documents and conduct research.
  • Provide customer service and maintain and manage digital database.
  • Plan, organize, direct, control, and evaluate daily operations.
  • Supervise 1 to 2 people.
  • Be familiar with Google Docs, MS Excel, MS Word, database software, MS Office, Adobe Acrobat Reader, and electronic mail.
  • Have knowledge of legal and business terminology and immigration area of work experience and specialization in correspondence, reports and records, and project management.
  • Have a criminal record check and credit check and be able to work in a fast-paced environment and work under pressure with tight deadlines and attention to detail and a large workload and work with minimal supervision.
  • Have ability to multitask, excellent oral communication, excellent written communication, flexibility, organized, team player, accurate, client focus, reliability, time management, and adaptability and be a quick learner.
  • Work in a public transportation available environment and be able to work independently and have ability to work in a large caseload environment.
