About the Role

We are seeking a skilled and organized individual to fill the position of Administrative Support Specialist at Wok Box. This role will involve providing high-level administrative support to our team, ensuring the smooth operation of our office.

Key Responsibilities
  • Office Procedures: Determine and establish office procedures and routines to maintain a productive and efficient work environment.
  • Appointments and Scheduling: Schedule and confirm appointments, ensuring timely and effective communication with clients and stakeholders.
  • Communication: Answer telephone calls, relay messages, and respond to electronic enquiries in a professional and courteous manner.
  • Supply Management: Order office supplies and maintain inventory levels to ensure a well-stocked and organized workspace.
  • Information Management: Set up and maintain manual and computerized information filing systems, ensuring accurate and up-to-date records.
  • Correspondence and Reporting: Type and proofread correspondence, forms, and other documents, as well as perform data entry tasks with attention to detail.
Area of Specialization

This role will involve working in the areas of Correspondence, Contracts, and Invoices, requiring strong organizational and communication skills.

Work Conditions and Physical Capabilities

The successful candidate will possess strong Attention to Detail, be able to perform Repetitive Tasks, and have the ability to work in a fast-paced environment.

We are seeking an individual with excellent Multitasking skills, Flexibility, and the ability to prioritize tasks effectively, as well as a strong Client Focus and Reliability.

Experience

Previous experience in an administrative role is required, with a minimum of 7 months to less than 1 year of experience.

  • Participation in Government or Community Programs: Participates in a government or community program or initiative that supports newcomers and/or refugees.
  • Immediate Settlement Needs: Assists with immediate settlement needs of newcomers and/or refugees, such as housing, transportation, storage, childcare, and winter clothing.
  • Social and Labour Market Integration: Supports social and labour market integration of newcomers and/or refugees, including facilitating access to community resources, language training, and skills training.
  • Credential Recognition: Supports newcomers and/or refugees with foreign credential recognition.
  • Mentorship Programs: Offers mentorship programs that pair newcomers and/or refugees with experienced employees.
  • Diversity and Cross-Cultural Training: Provides diversity and cross-cultural trainings to create a welcoming work environment for newcomers and/or refugees.

Support for Indigenous People

  • Participation in Government or Community Programs: Participates in a government or community program or initiative that supports Indigenous people.
  • Mentorship, Coaching, and Networking Opportunities: Offers mentorship, coaching, and/or networking opportunities for Indigenous workers.
  • Relationships with Indigenous Communities: Develops and maintains relationships with indigenous communities, indigenous-owned businesses, and organizations.
  • Cultural Competency Training: Provides cultural competency training and/or awareness training to all employees to create a welcoming work environment for Indigenous workers.
  • Elder Support: Facilitates access to Elders who can offer support and guidance to Indigenous workers.
