Job Description:

We are seeking a highly organized and customer-focused Administrative Support Professional to join our vibrant team. As the first point of contact, you will provide exceptional customer service, manage the front desk, and ensure seamless day-to-day operations. You will also oversee accounts payable functions, maintaining accurate records and ensuring timely payments.

Required Skills and Qualifications:

">
  • Minimum 1 year of office administration experience
  • Previous accounts payable experience
  • Previous experience with MS Office (Word, Excel, Outlook)
  • Previous experience with Sage50 considered an asset
  • Ability to work independently/in a team
  • Keen attention to detail
  • Comfortable working in an industrial / blue collar environment
  • Eligibility to obtain a Secret-level security clearance

Duties and Responsibilities:

  • Welcome employees and visitors
  • Efficiently manage inbound and outbound telephone calls
  • Coordinate courier services, ensuring timely package delivery and receipt
  • Manage mail operations, processing incoming and outgoing mail with precision
  • Maintain organized and up-to-date filing systems, both physical and digital
  • Collaborate with the Controller to ensure smooth financial operations
  • Perform accurate and efficient data entry tasks
  • Accurately post invoices to digital files for secure record-keeping
  • Prepare invoices for Sage posting, ensuring seamless accounting integration
  • Investigate and resolve discrepancies with suppliers regarding missing invoices
  • Verify delivery slips against invoices and invoices against payment records
  • Prepare cheques for review and signature, ensuring timely payments
  • Reconcile payments and update records for accuracy
  • Other miscellaneous office duties as assigned

Work Schedule:

The schedule for this position is Monday to Thursday from 7:00am to 4:30pm and Friday from 7:00am to noon.

This role is located southeast of Ottawa, providing a convenient commute for those living in the area.
