Collections Specialist

We are seeking a highly skilled and experienced Collections Representative to join our team at Konica Minolta. As a Collections Representative, you will play a critical role in supporting our company's global collections and credit risk management efforts.
Key Responsibilities- Manage all outstanding balances for customers and obtain payments through various channels, including electronic funds transfer, checks, and credit cards, while reconciling all open payments for account payable.
- Maintain accurate records of all customers' past payments and inform customers of their payment history, preparing non-note lease rental payment schedules as needed.
- Determine the most effective and economical means of collection for each account, applying standard due diligence practices to collect monies owed, and composing correspondence requiring knowledge of procedures and practices in collections.
- Advise debtors with past due accounts on proper payment schedules and the principles of credit standings.
- Monitor and maintain assigned accounts, respond to customer calls, process account adjustments, and reconcile customer accounts.
- Provide customer service regarding collection issues, process and review account adjustments, resolve client discrepancies, and handle short payments.
- Administer all collections according to required policies and procedures, perform all credit functions, and assist customers in obtaining any missing documentation as requested (invoices/statements).
- Prepare efficient payment schedules for all customers by evaluating all documents in collection systems and negotiate payments with customers if a dispute cannot be resolved.
- Maintain records of all collection accounts by reviewing age trial balance on a weekly basis and collecting on the highest outstanding balance/oldest outstanding accounts to reduce delinquency and bad debt.
- Be accountable for reducing delinquency for assigned accounts.
- Perform all audit activities and prepare corrective plans for collection procedures, working with sales representatives to ensure account reconciliation is complete and understood by customers.
- Develop and maintain positive working relationships with internal and external customers.
- Manage incoming calls from our online customer service line to ensure all calls receive a live agent to assist with inquiries.
- Recommend accounts to be turned over to collection agencies or for litigation, preparing reports of historical data to substantiate action to be taken.
- Results-oriented communication and team interaction.
- Perform other assigned tasks and duties necessary to support the Credit Department.
- Provide credit references to our customers' suppliers, as requested.
- Excellent oral and written communication skills.
- Bilingual French/English.
- Post-secondary degree and/or completion of community college courses in an accounting-related field.
- 2-5 years of previous work experience as a collections representative.
- Ability to handle multiple tasks with deadlines.
- Detail-oriented.
- Highly motivated, self-starting team player.
- Strong PC skills, experience using word-processing and Excel spreadsheet applications (V look-ups, pivot tables, macros).
- Works under limited supervision.
- ERP Accounting systems (5 years SAP experience required).
