Responsibilities:

  • Proactively support professionals in managing and following up on their cases
  • Coordinate schedules and ensure necessary follow-ups for appointments, meetings, hearings, events, and committees
  • Ensure deadlines are met and follow up on client files and deliverables
  • Make reminders and follow-ups with current and potential clients in a professional and courteous manner
  • Prepare required documentation for various planned events
  • Transcribe dictations, proofread, and correct documents
  • Manage file openings and billing
  • Prepare expense allocations
  • Perform other administrative tasks as needed

Requirements:

  • Degree in secretarial studies, legal secretarial studies, or equivalent training
  • Minimum of three (3) years experience in legal secretarial work ideally in labor and employment law
  • Bilingual in English and French (spoken and written) to assist lawyers in both languages
  • Proficiency in Microsoft Suite especially Word (intermediate/advanced level), Outlook, and Excel
  • Familiarity with Maître and iManage Work 10 software (an asset)
  • Excellent client orientation, courtesy, and professionalism
  • Responsibility, attention to detail, and good organizational skills
  • Ability to manage multiple files simultaneously and prioritize effectively
  • Team spirit and a sense of initiative
