Administrative Support Professional

This role is part of our Administration team, which directly contributes to the success of our firm by supporting internal and external clients. As a trusted advisor, you will ensure the efficient and effective operation of our business.
Key responsibilities include:
- Managing our reception switchboard, answering and directing incoming calls from internal and external sources
- Greeting clients and visitors
- Providing polite, positive and courteous client service, both in person and over the phone
- Processing, sorting and distributing incoming and outgoing courier packages and mail
- Ensuring the maintenance and cleanliness of office stationery supply rooms, including stocking, organization and distribution of supplies
- Maintaining inventory and overseeing the distribution of our office supplies
- Setting up board rooms for client meetings and ensuring supplies are put away when meetings conclude
- Coordinating catering requirements, as necessary
- Performing routine clerical duties, including photocopying, faxing and printing reports and daily deposits, as required
- Preparing, reviewing and modifying general templates, letters, reports, Power Point presentations, Word documents, Excel workbooks and other correspondence materials
Requirements include:
- Office and clerical experience in a professional working environment
- Post-secondary education in administration (considered an asset)
- Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously
