Job Summary:

The Administrative Assistant plays a vital role in supporting the company's administration team. This position requires a highly organized and detail-oriented individual who can effectively manage multiple tasks and priorities.

Key Responsibilities:

  • Provide exceptional customer service to clients, business partners, and internal stakeholders.
  • Manage and coordinate office activities, including scheduling appointments, greeting visitors, and responding to telephone and email inquiries.
  • Administer and maintain accurate records, including employee training records and office files.
  • Assist in the distribution and translation of memos and correspondence, and compile data for various reports.
  • Perform other administrative duties, such as filing, photocopying, and scanning.
  • Maintain a tidy and presentable reception area.
  • Assist with company events and order front office supplies.
  • Manage interactions with cleaning staff and procurement of cleaning supplies.
  • Ensure office security by following safety procedures.

Requirements:

  • Minimum one year experience in an administrative assistant or customer service role.
  • Fluency in French and English (verbal and written).
  • High School Diploma or equivalent.
  • Strong customer service orientation and interpersonal skills.
  • Proficient in Microsoft Office products, including Excel, Word, and PowerPoint.
  • Superior typing skills and ability to maintain confidential information.
