Job Description

We are seeking an experienced and detail-oriented Executive Office Coordinator to join our team at the Toronto Division of Copiers. This is a permanent, full-time position.

About the Job

The Executive Office Coordinator will be responsible for providing administrative support to our senior management team, ensuring seamless day-to-day operations and strategic planning. The ideal candidate will have excellent organizational skills, ability to multitask, and strong communication skills.

Key Responsibilities
  • Co-ordinate meetings, seminars, and conferences, preparing agendas, minutes, and follow-up actions.
  • Develop and maintain manual and computerized filing systems, ensuring accurate and up-to-date information.
  • Prepare and edit correspondence, reports, and other documents, maintaining high standards of quality and professionalism.
  • Provide exceptional customer service, responding to inquiries, and resolving issues in a timely and efficient manner.
  • Manage travel arrangements, itineraries, and reservations, ensuring smooth logistics and cost-effective solutions.
  • Perform data entry, updating records, and maintaining accurate databases.
  • Assist with budgeting, expense tracking, and financial reporting, ensuring fiscal responsibility and accountability.
Requirements
  • Diploma or certificate in Business Administration, Office Administration, or related field.
  • 1-2 years of experience in an administrative role, preferably in a corporate setting.
  • Excellent communication, organizational, and time management skills.
  • Proficiency in Microsoft Office, particularly Outlook, Word, and Excel.
  • Able to work effectively in a fast-paced environment, prioritizing tasks, and meeting deadlines.
Working Conditions

This is a 35-hour per week position, working in a dynamic and collaborative environment. The successful candidate will be required to work under pressure, meet tight deadlines, and demonstrate attention to detail.
