Administrative Coordinator for Property Management

Job SummaryWe are seeking an experienced Administrative Coordinator to join our team. The successful candidate will be responsible for coordinating administrative and physical needs of a busy portfolio of properties, providing exceptional customer service, and supporting the team with administrative tasks.
Key Responsibilities- Provide superior customer and owner correspondence, both in person and through various communication channels.
- Complete daily, weekly, monthly, and yearly administrative tasks in a timely manner, ensuring accuracy and attention to detail.
- Compile and create Board Packages with high attention to detail and deadlines.
- Attend and/or take minutes at Board meetings and Annual General Meetings, both in person and virtually.
- Organize and maintain property and related documentation, ensuring both electronic and paper copies are up-to-date and accurate.
- Manage meeting schedules and calendars, tracking ongoing projects and ensuring timely completion.
- Coordinate owner and manager requests, supply needs, and maintenance schedules.
- Develop and create posters, newsletters, and other information materials as needed.
- At least 2 years of experience in administration, preferably in the property management industry.
- Experience with Microsoft Office products is required, with proficiency in ShiftSuite an asset.
- Strong attention to detail, organizational skills, and customer service excellence are essential.
- Bookkeeping and accounting skills are an asset, as is a valid driver's license and reliable vehicle.
- Professionalism and respect for confidentiality are critical, as is a personal interest in the property management industry with potential for career progression.
