We are seeking a highly motivated Executive Assistant Coordinator to join our Calgary office. The successful candidate will be responsible for managing the reception desk, providing general office services support and supporting the delivery of project outcomes.

The role requires excellent attention to detail, timely execution of responsibilities and experience supporting senior management in a professional services or executive search firm.

You will be working closely with Partners and the search team to prepare documents, coordinate business development and search delivery activities. You will also maintain accurate records, manage calendars, fulfill business requirements and requests, track expenses, and assist with daily correspondence and client relations.

We require strong organizational and project management abilities, as well as excellent interpersonal, communication and written skills. Proficiency in Microsoft Office is essential.

Key Responsibilities:

  • Prepare documents, reports and presentations to support business development and search delivery activities
  • Maintain accurate records and databases to ensure efficient project delivery
  • Manage Partner and search team calendars, schedules and itineraries
  • Fulfill business requirements and requests in a timely manner, including travel arrangements and expense tracking
  • Assist with daily correspondence, client relations and communication
  • Develop and implement processes to streamline search and administrative practices
  • Participate in internal project review sessions and contribute to a team environment

Requirements:

  • Completion of secondary school and university graduate
  • 1+ years' experience with global executive search firms
  • Experience in a related executive assistant or administrative role
  • Proficiency in Microsoft Office and Salesforce database
  • Strong organizational and project management abilities
  • Excellent interpersonal, communication and written skills

Estimated Salary: $64,002 per year
